For the past 6 years, Heuristic Solutions has been developing and supporting the Omniconference event management system. Omniconference is a Web-based application to centralize the process of planning and running smooth conferences and events. It is designed to eliminate paperwork, streamline communications, and facilitate good decisions as you manage the complex task of putting on a successful event.
Omniconference has several modules to address different phases of the event management cycle. These phases include:
Call for Proposals (Speaker selection)
We help you attract the best speakers by making it easy for you and them to put your best foot forward. Our Call for Proposals allows interested parties to submit presentation ideas on line so that you don’t have to process any paperwork. We also have an “Invited Speakers” capability so that you can reach out to industry experts you know you want to speak. Putting the process on the Internet means that all of the information is available from anywhere at any time. Our proposal review capability allows you and your review committee to rank presentations by the qualities that are most important to your audience. Our reporting capabilities mean that you always know: how many people have proposed presentations, how many have accepted invitations, and how many are providing the necessary documentation to make sure all of the legal and logistical requirements have been met.
As you organize your even, you need to match a complex array of resources: venues, topics, and speakers, as well as all of the physical details of your locations. We make sure it is easy for you to set up events, regardless of the level of complexity, assign speakers to venues, and make sure each venue is set up to your specifications.
We make sure it is as easy as possible for attendees to register. We work with you to identify the information you want to collect during the registration process, integrate our data with your membership database, and process payments on line. All the information collected is made available to you for planning purposes and is shared with the on-site registration company you like to work with.
Manuscript and material management
Omniconference makes the process of managing conference materials easy. We accept document submissions on-line so presenters manuscripts and PowerPoint presentations can be available where and when they are needed. We provide an editorial review process to make sure that documents meet your branding and ethical standards. We help publish materials electronically so that you can distribute them during the conference on CD-ROM or over the Internet.
MyPlanner (On-line Itinerary and Program)
Omniconference helps attendees make the best use of their time at conferences by helping them plan their schedule before they arrive at the conference center. Our MyPlanner scheduler allows attendees to review an on-line program, and add events to their private calendar so they know where they need to be, and when. This information is tied directly to the schedule you set up earlier in the process, so planners need to do no more data entry to make sure attendees know exactly what to expect. You can use reports to find out how many people have signed up for events to make sure you can accommodate them.
Virtual Exhibit Hall
Omniconference allows exhibitors to manage a virtual booth to post important marketing messages, direct traffic to their own Web site, and set up on-site meetings with conference attendees. We provide both templates and design support to help exhibitors promote special topics and connect with your attendees.
Almost all conferences these days have on-site Internet kiosks. We take this a step further by applying special capabilities to your on-site presence. We can make sure that the kiosks are branded for you and your sponsors, and control their behavior to special areas, such as local Web sites of interest, your Web site, their MyPlanner, and special conference messaging to keep them informed of people who are trying to reach them.
